This article provides a step-by-step guide on scheduling tests and managing access using YouTestMe. Learn how to set test availability, define participant accessibility, and implement security measures such as password locks, proctoring, and browser lockdowns.
By creating testing sessions, you can tailor access permissions to your specific needs. This includes options such as allowing unrestricted access to all users or limiting test visibility to specific users or user groups. Furthermore, within these testing sessions, you can define the security of the test by locking it with a password, enabling proctoring, browser lockdown, or requiring the use of Safe Exam Browser.
Manually create a testing session #
- To manually create a testing session, navigate to Tests and select the Manage Tests tab.
- Select the desired test by clicking on its name or the Schedule button in the Actions column.
- Navigate to the Testing Sessions tab.
- Click the New Testing Session button to add a session.
Session Settings #
- Using the Activate session button, you can activate the testing session to make it accessible to candidates during its availability period.
- Enter the testing session name.
- Select the Testing location: By selecting a location, the testing session will automatically inherit the location settings, including the timezone and the assigned proctors.
- Set up the availability period during which the session will be available for all assigned candidates.
- Select the Timezone: The session availability period will be displayed in the candidate’s timezone based on the selected timezone in this field.
- Allow Candidates Self-enrollment: By enabling this option, the session will allow candidates to self-enroll to take the test. You can choose:
- Any active user
- Users from a specific user group
- Users enrolled in a specific training course
- Require Authorization: Enabling this option allows only authorized users to find the session and take the test. Authorization must then be created for these users. Please check this article for more details.
- Define the Booking price if you require candidates to pay to take the test.
- Define the Retake test price: If test retakes are allowed, you can use this option to set the price that candidates must pay to retake the test.
- Specify seat booking options: By enabling this option, you will be able to define the booking and cancellation deadlines, as well as the session capacity.
- Booking Deadline: The deadline for booking a seat. After this deadline, the session will become unavailable.
- Cancellation Deadline: The deadline for canceling a booking.
- Seat Limit: You can use this option to define the number of candidates allowed to take the test during the testing session. Once all the seats are booked and the cancellation deadline has passed, the session will become unavailable.
- Enable the Unlimited option to have an unlimited number of seats.
- Proctoring: Use this dropdown menu to select one of the following options:
- No Proctoring: Select this option if the exam is not proctored.
- AI Professional Proctoring: Select this option if the exam is proctored using the YouTestMe Proctoring solution.
- Proctoring Using Conferencing Tools: Select this option if the exam is proctored using a conferencing tool such as Webex, Zoom, or Google Meet.
- Browser Lockdown: This option allows you to enable browser lockdown, preventing candidates from accessing any application during the exam.
- Built-in Protection: Select this option to use the YouTestMe browser lockdown.
- Safe Exam Browser (SEB): Select this option if you want to use the Safe Exam Browser to conduct the exam.
- Access Password: You can set up a password to lock the session and share it with the desired users. Candidates will need to use the provided password to take the exam.
- Instructions for Candidates: Enter the instructions you want to share with candidates regarding the exam session.
- Click the Save button to add the session
Uploading Multiple Sessions Using the YouTestMe Excel Template #
If you want to bulk-create many sessions for one test, follow the steps below:
- In the Testing Session tab, click the Import Testing Sessions button.
- Download the template by clicking on the Excel Template link.
- Fill out the Excel template and click the Select File button to upload it.
- Click the Upload button to add the sessions.
Editing a testing session #
To edit the session settings, click on the three dots in the top right corner of the session card and select the desired action:
- Settings: Select this option to edit, lock, or delete the session.
- Candidates: Select this option to assign and manage candidates, add special accommodations or special requests, or access the proctoring dashboard to monitor the candidates.
- Administration: Select this option to assign test managers, proctors, and graders.
- Sharing: Select this option to export the paper-based version of the test or to copy and share the direct and guest links.
- Pricing Configuration: Use this option to edit the session fees.
Creating Testing Sessions from the Testing Center #
The Testing Sessions tab in the Testing Center module provides users with an overview of all sessions in the system and enables them to filter sessions by test, test managers, assigned candidates or proctors, location, status, delivery preference, and start time.
It is also possible to create a testing session for more than one test. Users can create a single session for multiple tests in the Testing Center.
- To create a multiple-tests session, navigate to the Testing Center and select the Testing Sessions sub-menu.
- Click the Create New Session button to create a new session, or the Upload Testing Sessions button to bulk upload multiple sessions.
You can select multiple tests in the test field in the session creation dialog.
